As a freelancer or solo business owner, things don’t always go to plan. Sometimes you need to update an event, class, or 1:1 session after customers have already booked. Fluum makes this easy by giving you a live update system to notify all booked clients instantly and keep everyone in the loop.

Why Freelancers Use Live Updates

Here are the most common scenarios where freelancers rely on live updates:

  • Location changes – Moving from in-person to online (or vice versa) and needing to let everyone know.
  • Date or time adjustments – Essential for classes and events where multiple people are booked.
  • Description updates – Clarifying what is included in the session, or adding new details.
  • Notes changes – Adding prep instructions, new policies, or reminders for clients.
  • Unexpected changes – Communicating updates quickly when situations shift at the last minute.

By sending a live update, you keep your clients informed, reduce confusion, and minimise cancellations.

How Live Updates Work

  1. Edit a listing with existing bookings
    • When you change important details (description, notes, location, date, or time), Fluum automatically detects that clients are already booked.
  2. Approval pop-up
    • You’ll see a confirmation pop-up asking if you want to notify all affected clients.
    • Choose Yes to send the update or No to save without notifying.
  3. Automatic client notifications
    • If approved, all booked clients receive an email outlining the changes, so they always have the latest information.

Important Rules to Remember

  • Notifications apply only to booked sessions – Updates are sent only if people have already booked that listing.
  • Critical fields trigger updates – Description, notes, location, date, and time changes all prompt client notifications.
  • Locked listings – If changes would break existing bookings (e.g. big scheduling conflicts), the listing becomes uneditable. Instead, Fluum will prompt you to duplicate the listing and create a new version.
  • Freelancer control – You always approve updates before they are sent.

Use Cases for Freelancers and Event Hosts

Live updates are especially useful for:

  • Moving an in-person class online if a venue becomes unavailable.
  • Shifting a group workshop by 30 minutes and letting everyone know instantly.
  • Adding new prep instructions to a coaching session.
  • Clarifying refund or reschedule notes for a last-minute change.
  • Correcting a mistake in the original event description.

Why Live Updates Matter

For freelancers and small business owners, communication is everything. By using Fluum’s live updates:

  • You reduce misunderstandings and no-shows.
  • Clients trust you more, knowing they’ll always get updates.
  • Your admin load shrinks since you don’t have to manually email every participant.
  • Your bookings stay professional, even when plans shift.
